Position Opening: Church Administrator (Part or Full Time) Position Description: Morningside Hills United Church of Christ (MHUCC) is a loving community where people renew their spirits, grow in faith, and act for justice. We seek a year-round Church Administrator to lead our office functions and support the ministries of the church. The successful candidate will interact cheerfully with members, guests, staff, and vendors of the church community, demonstrate organizational and adaptive talents, and show skill with a variety of software platforms. Under the supervision of the Pastor, this staff member will operate comfortably as a hub of management and coordination in the church’s life, keep the church calendar, manage the church website/database/files, and collaborate with other staff to keep communications current and office operations running smoothly. The Church Administrator will provide necessary support to the pastor, programs, and lay leadership of the church. We seek candidates who embrace the congregation’s commitment to theological openness, social justice, gender inclusivity, racial justice, and a full welcome of LGBTIQ+ church members and friends. The expectation is 30-40 hours per week, all of which is in-person and onsite. This position is not remote. Salary is in the range of $45,000-$60,000, depending on qualifications, experience, and hours. Benefits may be available with full-time appointment, subject to negotiation. The church administrator extends the mission of Morningside Hills United Church of Christ as a loving community where people renew their spirits, grow in faith, and act for justice through kind and organized support of the pastor, congregational activities, members, and staff. Primary responsibilities include day-to-day operations of the church office, administrative support for staff, boards, ministries, programs, and volunteers; maintaining the church calendar, website, databases, and files; and other areas as needed. Our church administrator keeps communications current, including weekly email newsletter, social media, and website, and works with worship leaders to prepare weekly worship materials. This is an in-person, onsite, year-round position with flexibility for 30-40 hours, generally 9-4 weekdays, with exact schedule negotiable. Communications include (but are not limited to): • Prepare weekly worship materials • Answer phone, direct calls, check and direct emails, sort and distribute mail • Compile the weekly Friday Update e-newsletter, and mail monthly version to homebound members • Maintain/schedule church calendar and distribute in timely manner • Send email reminders about meetings and schedules, regarding boards, committees, volunteer greeters, readers, coffee-hour hosts, etc. • Distribute information to appropriate persons, boards, committees and/or congregation in timely and effective manner as requested • Maintain paper and electronic files • Ensure office bulletin board(s) remain updated with current information • Update electronic sign on property with current messages • Help maintain and update church website and Facebook (with other staff and volunteers) • Coordinate timely publication of all-church mailings, annual reports, brochures, directories, calendars, meeting minutes, church communications, etc. (both print and electronic) Management • Oversee office area and workspaces, maintaining hospitable conditions • Assist staff, church officers, boards, committees, and church volunteers as needed • Participate in staff meetings • Maintain church’s policies and procedures manual, in coordination with Vision Council • Purchase office supplies and equipment, in accordance with approval process • Recruit, train and oversee volunteers to conduct basic office tasks Membership • Maintain new member information and materials • Create certificates as needed (including but not limited to: baptism, membership, weddings) • Maintain church database, updating email distribution lists and church directory as needed • Maintain Breeze donor database, including recording of non-electronic donations. • Maintain legal records of weddings, and church records of baptisms • Acknowledge receipt of gifts given in memory of church members • Track, report and occasionally deposit donations that arrive by mail, as needed • Prepare and distribute quarterly giving statements Technology • Routinely use computers and software applications, including Microsoft Office suite (Word, Publisher, Outlook, PowerPoint), MailChimp, Dropbox, Zoom, QuickBooks, SharePoint, and Google applications. • Follow protocols for maintaining church database (Breeze) and website (Squarespace) • Arrange for repair/replacement of office equipment as necessary Property • Administer policies and procedures concerning the use of church property, facilities, and equipment, in keeping with policies and practices of the Trustees • Coordinate with outside vendors offering services on church property • Control and track distribution of building keys, codes, and/or other access controls • Develop and maintain list of vendors supporting office, building equipment and musical instruments • Schedule equipment maintenance as needed, in communication with Trustees and other staff/volunteers • Maintain files on church property and building equipment • Oversee safety, inventory, and storage of MHUCC equipment and property • Maintain office, IT, and surrounding administrative infrastructure • Recruit, train, and oversee custodial service (currently through Vail Place) & work with Treasurer to ensure appropriate paperwork for payment Additional responsibilities • Oversee day-to-day operational systems and processes • Oversee compliance by MHUCC employees and volunteers of all laws, regulations, standards, and ethical practices in staff handbook • Support pastor and church in other administrative responsibilities, as needed and as determined by pastor and/or lay leadership Financial Processes • Work closely with MHUCC Treasurer and Trustees in paying bills and other routine expense classifying and processing procedures as directed by policies.
