Qualifications

  • Minimum of 3 years' experience in an office administration position.
  • Intermediate skills in Microsoft Office (Word, Excel, PowerPoint).
  • Intermediate skills in MS Outlook and Internet navigation.
  • Ability to type a minimum of 40 wpm.
  • Excellent verbal and written communication, including phone etiquette.
  • Ability to prioritize and handle multiple tasks.
  • Professional interactions with high-level contacts.
  • High degree of tact, diplomacy, discretion and judgment.

Responsibilities

  • Route incoming calls and take messages for site personnel, clients, and visitors.
  • Provide general clerical and administrative support to professionals.
  • Scan files and organize records.
  • Process end of term leases.
  • File organization and data entry / updating databases.
  • Track insurance certificates and vehicle titles.
  • Receive and sort mail; handle correspondence and deliveries.
  • Maintain organized files and facilitate documentation.

POSITION: OFFICE ADMINISTRATOR

Job Responsibilities
  • Receptionist duties include routing incoming calls to the appropriate party and taking clear, concise messages for site personnel, clients, and visitors and ensuring the timely delivery of the messages;
  • Provide general clerical and administrative support to all levels of professionals including:
  • Scanning of files
  • Processing end of term leases
  • File Organization
  • Tracking insurance certificates
  • Tracking vehicle titles
  • Boxing/Moving Files
  • Data Entry / Updating Databases
  • Receive incoming courier packages and prepare outgoing packages.
  • Organize, sort, and distribute incoming and outgoing mail.
  • Correspondence and general office administration.
