Job summary

CIVCO Medical Instruments Co. is seeking an OEM Customer Care Administrator who will be the primary contact for OEM accounts and coordinate daily sales and communication activities across multiple departments.

You will support shipments, quotes, documentation, and issue resolution while maintaining strong relationships with strategic customers. The role requires strong customer service, attention to detail, and teamwork in a fast-paced environment.

Qualifications

• High school diploma or GED with 2–3 years related experience; or an associate degree with 1–2 years related experience.
• Equivalent combination of education and experience acceptable.

Responsibilities

• Process OEM customer orders accurately and efficiently.
• Coordinate shipments with cross-functional teams and freight forwarders.
• Provide required shipment documentation per country requirements.
• Respond to order status and documentation requests from customers.
• Communicate with internal teams to manage changes and resolve fulfillment issues.
• Utilize customer portals to provide order-related information and docs.
• Verify quotes for price, shipping, and lead times; handle rework/loans.
• Document complaints and process returns per quality policies.
• Support product knowledge, training, and collaboration with multiple teams.
