Job summary

Responsibilities

• Coordinate and manage ocean export shipments from booking through final delivery.

• Prepare, process, and distribute all required export documentation accurately.
• File AES documentation on behalf of shippers prior to vessel sailing.
• Coordinate certification and legalization of documents with Chambers of Commerce and embassies as needed.
• Provide guidance on delivery terms, payments, and shipping services.
• Prepare and issue rate quotations for LCL, FCL, RO/RO, and Breakbulk shipments.
• Negotiate competitive rates with ocean carriers and vendors.
• Review and approve vendor invoices; ensure accurate customer invoicing.

Ocean Freight Coordinator

Direct Hire | $55,000 - $65,000 | Monday-Friday, 8:00 AM - 5:00 PM

Are you an experienced logistics professional with a strong background in ocean exports? We are seeking a detail-oriented Ocean Freight Coordinator to join a growing transportation and logistics team. In this role, you will be responsible for coordinating ocean export shipments from origin to destination, ensuring service commitments are met while providing exceptional customer service and operational support.

Job Responsibilities

As an Ocean Freight Coordinator, you will:

• Coordinate and manage ocean export shipments from booking through final delivery.
• Determine and arrange the most efficient transportation routes based on customer needs.
• Maintain communication with clients, carriers, vendors, and international partners regarding shipment status and transportation arrangements.
• Prepare, process, and distribute all required export documentation accurately and on time.
• File AES documentation on behalf of shippers prior to vessel sailing.
• Ensure compliance with U.S. export regulations and international import requirements.
• Coordinate certification and legalization of documents with Chambers of Commerce and embassies as needed.
• Provide clients with guidance regarding delivery terms, payment terms, marine insurance, shipping services, and transportation alternatives.
• Prepare and issue rate quotations for LCL, FCL, RO/RO, and Breakbulk cargo shipments worldwide.
• Negotiate competitive rates with approved ocean carriers and vendors.
• Review and approve vendor invoices for accuracy and timeliness.
• Ensure customer invoicing is completed accurately and according to company standards.
• Assist with customer account and billing disputes as needed.
• Partner with sales and operational teams to maintain superior service levels.
• Perform additional duties as assigned.

Qualifications

• Associate's Degree in a related field preferred, or equivalent combination of education and industry experience.
• 3-5 years of ocean freight, freight forwarding, logistics, or transportation industry experience.
• Strong knowledge of export documentation, Incoterms, customs forms, and powers of attorney.
• Understanding of ocean export processes and international shipping regulations.
• Excellent verbal, written, and interpersonal communication skills.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.
• Proven problem-solving skills and ability to work effectively under pressure.
• Professional phone and customer service skills.
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
• Knowledge of AS400 systems is a plus.
• NVOCC experience is a plus.
• Working knowledge of global geography and international trade logistics.
