What you will be doing

Reporting to the Branch Manager, the Ocean Export Coordinator will oversee third-party logistics providers, negotiate rates with ocean carriers, and ensure seamless tracking of ocean shipments. Our goal is to understand our customers better and continuously improve our services to simplify logistics.

Your responsibilities include:

  1. Communicating clearly with agents and clients to facilitate smooth information exchange.
  2. Entering and sending pre-alerts to keep stakeholders informed about shipment departures.
  3. Preparing, managing, and sending status reports.
  4. Negotiating rates with ocean freight carriers.
  5. Tracking shipments for real-time updates.
  6. Handling documentation such as bills of lading accurately.
  7. Updating clients and agents on shipment statuses.
  8. Organizing pick-ups from shippers.
  9. Issuing invoices promptly and accurately.
  10. Managing claims and following procedures as needed.
  11. Monitoring pending charges and managing financial transactions.
  12. Reconciling costs with agents and carriers.
  13. Sending profit share requests timely.
  14. Dispatching and following up on Proof of Deliveries (PODs).
  15. Closing files accurately and on schedule.
  16. Maintaining and updating client status reports.
  17. Resolving issues effectively as they arise.
  18. Performing other job-related duties with dedication and care.

Skills & experience required

  • Degree or equivalent in Supply Chain Management.
  • Knowledge of INCOTERMS and NVOCC regulations.
  • Minimum 3 years' experience in Ocean Freight Export logistics.
  • Strong attention to detail and analytical skills.
  • Experience managing third-party logistics providers.
  • Ability to interpret complex instructions.
  • Customer-focused with excellent communication skills.
  • Effective multitasking and organizational skills.
  • Friendly, helpful attitude and willingness to support.
