Job summary

Orthodontic Experts in Merrillville, IN is seeking a New Patient Coordinator to greet new patients, collect records (photos and x‑rays), and help set up treatment plans.

You will assist in sterilizing equipment, maintain a clean workflow, and collaborate with the Treatment Coordinator to ensure a seamless patient handoff. Travel to sister clinics is required, and you’ll support clinic goals and patient options discussions.

Qualifications

• High School Diploma or GED required.
• Ability to travel to other practice locations.
• Bilingual in Spanish.
• Independent and team-oriented work style.
• Chairside experience preferred (minimum 6 months).

Responsibilities

• Greet new patients and welcome them to the practice.
• Take records (photos and x-rays) to inform treatment plans.
• Assist in sterilizing equipment.
• Maintain a clean working environment.
• Collaborate with Treatment Coordinator for warm hand-off to TC.
• Assist in meeting and/or exceeding clinic goals.
• Discuss payment options and insurance coverage with patients.

Job Description

You'll be greeting new patients and welcoming them to the practice. Following the office introduction, you take records (pictures and x-rays) which will be utilized to set a treatment plan for the new patient.

Duties include but are not limited to

• Taking clear x-rays.
• Taking clear photos.
• Taking accurate scans for retainers.
• Assisting in sterilizing equipment.
• Maintaining clean working environment (not limited to picture & X-ray area).
• Work with the Treatment Coordinator to ensure patient case acceptance by orchestrating a "warm hand-off" to the TC.
• Assist in meeting and/or exceeding monthly and annual clinic goals.
• Cover topics such as payment options and provide the patient with general information regarding insurance coverage as it relates to orthodontics.
• In the event you are traveling to another clinic, you are required to perform all duties and responsibilities of your role including administrative tasks.
• Participate in Marketing Events
• Other tasks as assigned.

Requirements

• High School Diploma/ GED
• New Patient Coordinators should have the ability to work independently, and in a team setting.
• Computer skills
• New Patient Coordinators should have the ability to travel & transport self to other practice locations.
• Bilingual - Spanish
• Minimum 6 months Chairside experience.

Working Hours/ Location/Travel/Pay

• Monday – Wednesday 8:45am – 5:00pm
• Thursday & Friday 6:45am – 3:00pm
• 2 Saturdays per month
• Two 9:45 am to 6:00 pm shifts per month.

• Rate of pay - 17$
• Travel availability to Homewood, Munster, Orland Park, Portage
