Job summary

Greenbrier Senior Living in Vestavia Hills and The Crossings at Riverchase in Hoover, AL, seeks a Move-In Coordinator to ensure smooth admissions and welcoming transitions for new residents and families.

You will develop move-in checklists, coordinate logistics with residents, families, moving companies, and internal teams, and provide front desk support to guests and staff.

Qualifications

• High school diploma or GED required.
• Minimum of two years of administrative, customer service, sales support, hospitality, or related experience.
• Strong organizational, communication, and multitasking skills.
• Professional, friendly, and compassionate demeanor.
• Proficiency with Microsoft Office and general office technology.
• Valid driver's license and current automobile liability insurance if using a personal vehicle for marketing-related travel.
• Ability to sit, stand, walk, bend, reach, kneel, climb stairs, and lift up to 15 pounds unassisted throughout the workday.

Responsibilities

• Develop and maintain move-in checklists, schedules, and calendars for a seamless admission process.
• Coordinate move-in logistics with new residents, families, moving companies, utility providers, and internal departments.
• Assemble welcome packets and admission documentation for incoming residents.
• Meet with new residents and families to review required paperwork, community information, fees, and resident handbook, ensuring signatures are obtained.
• Track and communicate move-in dates with department directors and team members; update schedules as needed.
• Provide administrative support to Marketing by updating materials and maintaining documents.
• Support Administration with front desk/concierge duties during breaks and lunches.
• Deliver exceptional customer service to create a positive move-in experience for residents and families.
• Perform other duties as assigned.

What You'll Do

As the Move-In Coordinator, you will play a vital role in ensuring every resident's move into our community is smooth, organized, and stress-free.

Responsibilities include:

• Develop and maintain move-in checklists, schedules, and calendars to ensure a seamless admission process.
• Coordinate move-in logistics with new residents, families, moving companies, utility providers, and internal departments.
• Assemble welcome packets and admission documentation for incoming residents.
• Meet with new residents and families to review required paperwork, community information, fees, and resident handbook, ensuring all documents are completed and signatures obtained.
• Track and communicate move-in dates with department directors and other team members, updating schedules as needed.
• Provide administrative support to the Marketing Department, including updating sales materials, preparing correspondence, and maintaining marketing documents.
• Assist the Administration Department by providing front desk/concierge coverage during breaks and lunches.
• Deliver exceptional customer service while creating a positive move-in experience for every resident and family.
• Perform other duties as assigned.

What We're Looking For

The ideal candidate will have:

• High school diploma or equivalent (GED) required.
