Role Description:

We are seeking an experienced and highly organized Office Manager to join our team at PhysioCare Rehab & Wellness, LLC. The Office Manager will play a crucial role in ensuring the smooth operation of our clinic by managing daily office activities, overseeing administrative tasks, and providing exceptional customer service. This position requires a proactive individual who can effectively communicate with patients, staff, and insurance providers, ensuring a seamless experience for all.

Key Responsibilities:
  1. Administrative Oversight: Manage the day-to-day operations of the clinic, including office organization, scheduling, and workflow management.
  2. Insurance Verification and Authorization: Proficiently handle insurance verification processes, obtain necessary authorizations, and ensure compliance with insurance requirements.
  3. Billing and Collections: Oversee billing processes, manage patient accounts, and assist with collections as needed. Prior experience in medical billing is a plus.
  4. Customer Service Excellence: Provide outstanding customer service to patients and caregivers, addressing inquiries and resolving issues promptly and professionally.
  5. Communication: Serve as the primary point of contact for patients, staff, and external partners; facilitate clear and effective communication within the team.
  6. Staff Coordination: Assist in coordinating staff schedules, training new employees, and fostering a positive work environment.
  7. Office Equipment Management: Ensure all office equipment is functioning properly and coordinate repairs or maintenance as needed.
  8. Record Keeping: Maintain accurate patient records and confidential information while adhering to HIPAA regulations.
  9. Patient Experience Improvement: Continuously seek opportunities to enhance the patient experience and improve operational efficiency.
Qualifications:
  1. Experience: 5 to 10 years of experience in an office management role, preferably in a healthcare or wellness setting.
  2. Bilingual: Fluent in both English and Spanish, with excellent communication skills in both languages.
  3. Insurance Knowledge: Strong understanding of insurance verification, authorization processes, and familiarity with medical billing practices.
  4. Customer Service Skills: Proven track record of providing exceptional customer service and creating a positive patient experience.
  5. Technical Proficiency: Proficient in using office equipment and various software applications, including electronic health record (EHR) systems, Microsoft Office Suite, and billing software.
  6. Organizational Skills: Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  7. Education: Associate's or Bachelor's degree in a related field is preferred but not mandatory.
