Description
We are seeking a highly organized and proactive Office Manager to join our professional and collaborative team at the Meat Institute. The Office Manager will be responsible for overseeing the day-to-day operations of the office, ensuring smooth administrative functioning, and providing support to staff and leadership. This position is critical to providing excellent service to our association members and the effective operation of our association, and the ideal candidate will be an adaptable, problem-solving individual with strong service orientation, communication and organizational skills.
Position Responsibilities
Office Administration: Provide excellent service to staff, Meat Institute members, other callers and visitors by:
- Answering main Meat Institute phone line and emails, receiving, and sorting mail and deliveries and timely processing of same according to instructions, ensuring that requests are directed to the appropriate personnel.
- Greeting all visitors, coordinating resources needed to host visitors and in-office meetings and acting as the point of contact for visitors, vendors, and other external stakeholders.
- Familiarity with Meat Institute board members and general membership, the services provided to membership by the Meat Institute and the important events sponsored by the Meat Institute for the benefit of members.
- Familiarity with the Meat Institute’s critical partners and stakeholders, ensuring that administrative matters relating to collaboration with these partners and stakeholders are handled smoothly and professionally.
- Maintaining and updating office policies and procedures.
- Ensuring the office environment is well-organized and conducive to productivity.
- Provide administrative support to the CEO and senior staff as needed.
- Assist in the preparation of on-site and online meetings, conferences, and events as requested, including scheduling, coordinating logistics, and managing materials.
Communication & Coordination
- Serve as the primary liaison for internal communication and support cross-departmental collaboration.
Financial & Budget Assistance
- Process invoices, track office expenses, and help maintain the office budget.
- Assist with maintaining financial records and preparing expense reports related to responsibilities.
Other Staff Support
- Assist with onboarding new employees, including preparing workstations and ensuring new hires have necessary equipment and materials.
- Coordinate efforts and collaborate with other administrative staff including assistant to the CEO, Accounting, HR, IT and others to assist with smooth working of administrative functions within the Meat Institute
- Assist in Staff Member Liaisons with administrative tasks related to member committees
Requirements
Position Location: Position is full-time onsite, and is located at the Meat Institute office in Arlington, VA.
Schedule: Monday- Friday. 8 hours per day.
Qualifications
- Proven experience in office management, administrative support, or similar roles.
- Strong detail orientation and excellent execution capacity.
- Professional demeanor and ability to represent the Meat Institute well with members and stakeholders.
- Strong organizational and time-management skills with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- High level of proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software/tools.
- Strong interpersonal skills with the ability to work well with staff, members, and external stakeholders.
- Ability to maintain confidentiality and handle sensitive information.
- Positive attitude and a strong work ethic with a focus on teamwork and collaboration.
- Previous experience in a non-profit or industry association, or within the food and agriculture industry is a plus.
Education And Experience
- Bachelor’s degree or equivalent experience preferred.
- At least 3 years of experience in an office management or administrative support role.

- Ability to sit, stand, and walk for extended periods throughout the workday.
- Ability to lift, carry, or move office supplies, equipment, and files weighing up to 25 pounds.
- Capability to bend, stoop, or reach to access office supplies and files.
- Ability to operate office equipment (e.g., computers, printers, copiers, and telephones) for extended
periods of time.
- Manual dexterity required to type, file, and handle paperwork.
- Ability to attend and participate in meetings, events, and conferences, sometimes requiring travel.
- Occasional lifting and carrying of event materials or office supplies for meetings, conferences, and
other office events.
- Ability to maintain a focused and professional demeanor while managing multiple tasks in a busy office
setting.
