Responsibilities

• Enter and process customer orders accurately and efficiently.
• Review orders for pricing, product details, quantities, shipping information, and special instructions.
• Coordinate order fulfillment, shipping, delivery, and pickup schedules.
• Communicate with vendors and manufacturers regarding product availability, lead times, order status, and shipping updates.
• Track open orders from placement through final delivery.
• Monitor shipping timelines and proactively address delays, discrepancies, or other potential issues.
• Provide customers and sales team members with timely order and delivery updates.
• Coordinate freight and shipping arrangements as needed.
• Maintain accurate order, customer, vendor, and shipping information within company systems.
• Prepare and organize shipping documents, purchase orders, invoices, and related paperwork.
• Assist with resolving damaged shipments, missing items, incorrect orders, returns, and other order-related issues.
• Work closely with sales and operations to ensure customers receive a smooth experience from purchase through delivery.
• Maintain organized records and follow up on outstanding orders and action items.
• Assist with additional administrative and operational responsibilities as the company continues to grow.

This position will play an important role in managing customer orders from entry through shipment and delivery, while coordinating closely with sales, vendors, customers, freight companies, and internal team members.

Qualifications

• Previous experience in order entry, shipping, logistics, customer service, sales support, purchasing, or office operations preferred.
• Strong attention to detail and accuracy.
• Excellent organizational and follow-up skills.
• Strong written and verbal communication skills.
• Ability to communicate effectively with customers, vendors, freight companies, and internal team members.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Proficiency with Microsoft Office, particularly Outlook and Excel.
• Experience with order management, inventory, ERP, or accounting software is a plus.
• Dependable, proactive, and willing to take ownership of responsibilities.
• Team-oriented attitude with a willingness to learn and grow.
