Job summary

Cosm is seeking an organized, detail-oriented Crewing Coordinator to join our Production Operations team. This role schedules crew for on-site game productions and in-office operations in the Broadcast Operations Center and Remote Control Room.

You will manage crew availability, build schedules, coordinate travel, and resolve coverage gaps in real time, working with Production Operations and Broadcast Engineering to ensure every production is staffed.

Qualifications

• Minimum two years of experience in crew scheduling or production coordination.
• Experience scheduling for live events, broadcast, or sports production preferred.
• Experience booking travel logistics (flights, hotels) in a corporate or production setting.
• Familiarity with broadcast workflows and control room operations a plus.
• Strong written communication skills for documenting schedules and status updates.
• Proficiency with scheduling, collaboration, and PM tools like Excel, Slack, and Notion.

Responsibilities

• Build, maintain, and distribute crew schedules for on-site productions and in-office shifts in the Broadcast Operations Center and Remote Control Room.
• Coordinate crew travel bookings and ensure adherence to travel policy.
• Manage scheduling across multiple productions and time zones, addressing conflicts and last-minute changes.
• Serve as a primary contact for crew availability requests and shift confirmations.
• Communicate schedules and staffing status to production leadership using tracking tools.
• Maintain accurate records of crew availability, certifications, and assignment history.
• Review crew time cards and invoices for payroll or payment processing.
• Help refine scheduling and travel processes as production volume grows.
• Stay organized while managing multiple schedules, crew requests, and travel bookings.
