Qualifications

• Bachelor’s degree preferred; equivalent relevant experience considered.
• Three+ years in billing, accounts payable, bookkeeping, or general accounting.
• Proficiency in Microsoft Excel and accounting software; Salesforce and Accounting Seed a plus.
• Strong attention to detail, organizational ability, and ability to meet deadlines.
• Excellent written and verbal communication; ability to work with attorneys, staff, vendors, and clients.
• Ability to protect confidential information and investigate routine discrepancies.

Responsibilities

• Prepare prebills, review billing details, obtain attorney approval, finalize invoices, and distribute bills.
• Maintain accurate client and matter billing data in Salesforce and Accounting Seed.
• Review cash receipts, credits, adjustments, and balances; coordinate corrections as needed.
• Track retainers, prepaid funds, and trust-related billing activity per firm procedures.
• Respond to client billing inquiries and resolve invoice or payment questions with attorneys.
• Process vendor invoices, check requests, reimbursements, and accounts payable activity.
• Help with bank reconciliations and credit-card reconciliation; research exceptions.
• Support USCIS filing-fee tracking and virtual-card transactions to correct matters.
• Maintain electronic records and prepare billing, collections, and accounting reports.
• Provide additional accounting and administrative support while maintaining confidentiality.
