Job Overview
The Legal Billing Manager is responsible for overseeing the firm’s billing operations, ensuring accurate, timely, and compliant invoicing while maintaining strong relationships with clients, attorneys, and internal teams. This role manages day-to-day billing activities, supervises and develops billing personnel, oversees electronic billing processes, and supports financial reporting and process improvement initiatives.
The ideal candidate has extensive professional services billing experience, preferably within a law firm environment, along with strong knowledge of legal billing practices, eBilling platforms, accounting principles, and client billing requirements. The position requires a detail-oriented leader who can manage competing priorities, resolve complex billing issues, and continuously improve billing processes and controls.
Key Responsibilities
- Oversee daily billing operations to ensure accurate, timely, and compliant invoicing in accordance with client requirements and billing deadlines.
- Supervise, train, coach, develop, and evaluate a team of time and billing specialists.
- Review billing activity, identify discrepancies, and ensure invoices are completed and submitted accurately.
- Collaborate with clients, attorneys, paralegals, and administrative staff to resolve billing discrepancies, reporting issues, and client account concerns.
- Partner with the Office of General Counsel and other internal stakeholders to ensure compliance with outside counsel guidelines, client billing policies, and matter-specific requirements.
- Manage the firm’s eBilling hub and maintain billing systems to ensure current rates, client instructions, billing codes, and submission requirements are accurately reflected.
- Develop and maintain billing reports, reconciliation procedures, and audit processes to improve billing accuracy and timeliness.
- Generate and review monthly prebills and coordinate necessary adjustments with attorneys and billing personnel.
- Monitor electronic billing submissions, identify rejected or exception invoices, and coordinate resolution of billing issues.
- Ensure proper coding and allocation of expenses and coordinate with the accounting team to ensure accurate recording within the firm’s accounting system.
- Maintain accurate records of invoices, payments, adjustments, and other financial transactions in accordance with legal, accounting, and internal requirements.
- Monitor billing performance and identify opportunities to improve workflows, controls, and operational efficiency.
- Research and implement industry best practices, tools, and technologies related to legal billing and eBilling.
- Develop and implement process improvements to increase billing accuracy, efficiency, and compliance.
- Provide guidance and support to billing team members on complex billing matters, client requirements, and system issues.
- Serve as a backup resource for the Controller and other members of the billing and accounting teams as needed.
- Ensure compliance with applicable legal, regulatory, client, and organizational policies and procedures.
- Prepare and provide billing-related reports and information to leadership as requested.
- Perform additional billing, accounting, and operational duties as assigned.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and professional experience.
- Minimum of 5 years of billing experience in a professional services environment , with at least 2 years of people-management experience.
- Prior billing management experience within a law firm is strongly preferred.
- Strong knowledge of legal billing practices, client billing requirements, eBilling processes, and accounting principles.
- Extensive experience with eBilling software and reporting platforms.
- Experience with Elite/3E is strongly preferred.
- Familiarity with eBilling platforms such as Legal Tracker, Tymetrix 360, CounselLink, Passport, Ascent, or similar systems.
- Advanced proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Familiarity with Microsoft Access and PowerPoint is preferred.
- Strong understanding of accounting principles, billing procedures, financial controls, and applicable financial regulations.
- Demonstrated experience managing, mentoring, and developing billing teams.
