Job summary

Tokio Marine North America Services is seeking a coordinator to execute leadership development programs across North America. You will provide event planning support for multi-day events, manage materials, and coordinate communications for 50–100 participants, plus 10–15 virtual trainings.

You will collaborate with the SVP of Talent Management to drive program development, evaluation, and vendor management.

Qualifications

• BA/BS degree required.
• 1–2 years experience in HR, Communications, Training, Organizational Development or related fields.
• Willing to travel up to 20%, including air travel.
• Experience with event planning or conference management in corporate, educational or non-profit settings, focusing on logistics (hotels, catering, transportation).
• Vendor management/relations experience: cost analysis, contract management, invoicing and payments.
• Strong project management skills: planning, organizing, monitoring, meeting deadlines.
• Excellent writing skills: emails, documents, copy editing.
• Superior customer service orientation with stakeholders and executives.
• Proficiency with Microsoft PowerPoint and Excel; MS Office.
• Strong time management and multi-tasking abilities; attention to detail.
• Strong problem solving and independent work capability.

Responsibilities

• Supervises all content for the leadership program, including presentations, outlines, packets, and rosters.
• Provides design/branding support for program materials and supplies.
• Manages mentorship program and coordinates events for 50–100 participants.
• Analyzes evaluation data and drives improvements in instructional material.
• Coordinates vendor research, pricing, and contract management for teambuilding events.
• Develops participant communications and manages a dedicated social media site.
• Oversees program logistics: hotel, transportation, catering, signage, IT, on-site support.
• Maintains the program plan and ensures completion of tasks.
• Manages invoices, expenses, and vendor communications; liaises with vendors.
