Job summary

The State of West Virginia seeks a lead staff member in the Vital Registration Office to oversee public contact tasks, verify and issue vital documents, and ensure customer inquiries are resolved promptly. Responsibilities include auditing and processing requests, training staff, and supporting SOP development.

You will manage cash handling at daily deposits, coordinate staff schedules, and assist with inventory and special orders. Strong customer service and clerical skills are essential.

Qualifications

• High school diploma or equivalent.
• Three (3) years of full-time or equivalent part-time paid experience in clerical, administrative support, and/or records-processing work.

Responsibilities

• Lead public contact work involving the receipt, auditing, processing, recording and issuance of vital documents as requested by the public.
• Plan and schedule staff assignments; may reassign staff to ensure work is performed on schedule and fully utilized.
• Train employees in methods, procedures and policies of the Vital Registration Office.
• Assist in formulating standard operating procedures in the Vital Registration Office.
• Handle escalations from customers by phone or in person; manage customer inquiries on third party orders and special batch orders.
• Reconcile cash drawers at end of day and prepare daily deposits.
• Assist with maintaining office supply inventory and placing orders for VitalChek supplies.
• Relieve personnel when necessary and perform other duties as assigned.
