Job summary

West Virginia's Vital Registration Office seeks a lead customer service specialist to supervise daily public contact work, including receipt, auditing, processing, recording and issuing vital documents. You will plan staff schedules, train employees and handle escalations by phone or in person, ensuring service goals are met.

Responsibilities include cash handling, daily deposits, third-party orders, inventory support forVitalChek supplies, and back-up coverage as needed.

Qualifications

• High school diploma or the equivalent.
• Three (3) years of full-time or equivalent part-time paid experience in clerical, administrative support, and/or records-processing work.

Responsibilities

• Receives, audits, processes, records and issues vital documents as requested by the public.
• Plans and schedules staff assignments; may reassign staff to ensure work is performed according to schedule and that staff are fully utilized.
• Trains employees in methods, procedures and policies of the vital registration office.
• May assist in formulating standard operating procedures in the Vital Registration Office.
• Responsible for the customer service unit in the absence of the supervisor.
• Handles unusual and complex questions from customers and takes over escalations of customers by phone or in person.
• Reconciles cash drawers at the end of the day.
• Prepare and ensure accuracy of daily deposits.
• Processes third party orders and handles customer inquiries on them.
• Handles customer priority mail orders and special batch order processing from other agencies.
• Assists with maintaining office supply inventory and placing orders for VitalChek supplies.
• Relieves personnel when necessary.
• Boxes deposit sheets for storage.
• Other duties as assigned.
