Job summary

SouthEast Alaska Regional Health Consortium (SEARHC) is seeking a Patient Registration Specialist Lead in Sitka, AK. This role leads registration activities, trains staff, audits encounters, and ensures accurate demographic and insurance information during patient intake.

You will coordinate with care teams, supervise scheduling, and enhance registration workflows while maintaining SEARHC’s standards of service.

Qualifications

• 2 years of healthcare office experience or a minimum of an associate degree in lieu of healthcare office experience required.
• Internal candidates with at least 1 year of experience as a Patient Registration Specialist or similar role at SEARHC will be considered qualified.

Responsibilities

• Manage scheduling resources for patient appointments.
• Manage communication tools for patient scheduling requests by patients and care teams.
• Manage the pre-registration review process for insurance verification for upcoming appointments.
• Retrieve payment collection for services, flat rate services, co-pay or up-front collections.
• Collect documentation per requirements and timeliness for registration compliance.
• Scan registration documents into the electronic health record.
• Review and assign insurance tiering for proper payor assignment.
• Validate insurance eligibility and pre-authorization requirements.
• Communicate with peers, patients, and care teams through multiple channels for appointment requests and outreach.
• Create new patient profiles in the EHR with accurate demographic data.
• Manage multiple worklists: New Patient Registration Worklist.
• Schedule and register for various disciplines; cross-train for PRS coverage.
• Coordinate signing up patients in the MySEARHC portal.
• Uphold SEARHC’s Standard of Service Excellence and deliver exceptional customer service.
• Collaborate with peers, patients, and leadership.
• Participate in departmental improvement, maintain clean and safe work environment and annual competencies.
• Identify community resources and foster partnerships.
• Refer uninsured patients to Financial Counselor for resolution.
• Refer patients to Health Benefits team for insurance enrollment.
• Provide training for PRS Trainee and PRS roles.
• Audit encounters and share corrections under supervision.
• Reporting: schedule fill rate tracking and third next available.
• Monitor incoming schedule requests messaging for timely responses.
• Monitor standby/waitlist for timely responses.
• Update providers 90-day rolling schedules and block placements.
• Provide supervisor support in absence of supervisor.
• 60% of the job involves training and executing PRS Trainee tasks; 20% auditing/reporting; 20% care team communication.
