HMP Collective, the agency arm of HMP Global, is seeking a highly organized coordinator to manage the day-to-day KOL partnerships, recruitment, contracting, and scheduling. This role will be the connective tissue between HMP Collective and the KOLs we work with—ensuring engagements run smoothly, on time, and deliver a great experience for both parties.

Qualifications

  • 2+ years in a coordination, program management, client/relationship management, or communications role (healthcare setting preferred).
  • Exceptional attention to detail.
  • Strong written and verbal communication skills; comfortable communicating with physicians, scientists, and senior stakeholders.
  • Proven ability to manage multiple concurrent projects in a fast-paced environment.
  • Personable, professional demeanor; you build trust quickly and represent HMP well.
  • Proficiency with scheduling tools, CRM/database systems, and standard office software.

Responsabilités

  • Serve as a primary point of contact for KOLs and build professional relationships.
  • Identify and recruit new KOLs in partnership with internal stakeholders.
  • Maintain an up-to-date KOL database (contact info, therapeutic area, engagement history, preferences, availability).
  • Act as a warm, responsive presence — KOLs should feel well taken care of at every touchpoint.
  • Manage contracting end-to-end: drafting/routing agreements, tracking signatures, and timely execution.
  • Track honoraria, payments, and compliance requirements with legal/compliance teams.
  • Keep contract and engagement records organized and audit-ready.
  • Coordinate scheduling across multiple KOLs, internal teams, and external stakeholders.
  • Manage timelines and deadlines across concurrent KOL engagements; flag risks early.
  • Own logistics for KOL-facing events (virtual and in-person): invites, materials, travel, day-of support.
  • Draft and send invitations, reminders, and updates to KOLs.
  • Coordinate with medical, editorial, marketing teams to ensure KOLs have what they need.
  • Troubleshoot scheduling conflicts and competing priorities diplomatically.

About the Role

The agency arm of HMP Global, HMP Collective (www.hmpcollective.com), is looking for a highly organized, personable coordinator to manage the day-to-day mechanics of our Key Opinion Leader (KOL) partnerships. This person will be the connective tissue between HMP Collective and the KOLs we work with — managing relationships, recruitment, contracting, and scheduling so that every engagement runs smoothly, on time, and delivers a great experience for both parties.

This is a relationship and process-driven role, not a strategic or editorial one. That said, a working knowledge of medical/scientific content (e.g., prior experience as a medical editor, in medical communications, or in a clinical/scientific coordination role) is a strong plus, since it will help you speak the language of our KOLs and internal teams and anticipate their needs.

Responsibilities:
Relationship Building & Recruitment
  • Serve as a primary point of contact for KOLs, building trusted, professional relationships over time
  • Identify and help recruit new KOLs in partnership with internal stakeholders (medical, account)
  • Maintain an accurate, up-to-date KOL database (contact info, therapeutic area, engagement history, preferences, availability)
  • Act as a warm, responsive presence — KOLs should feel well taken care of at every touchpoint
Contracting & Compliance
  • Manage the contracting process end-to-end: drafting/routing agreements, tracking signatures, and ensuring timely execution
  • Track honoraria, payments, and compliance requirements (e.g., transparency reporting, conflict-of-interest disclosures) in coordination with legal/compliance teams
  • Keep contract and engagement records organized and audit-ready
Scheduling & Program Coordination
  • Coordinate scheduling across multiple KOLs, internal teams, and external stakeholders for meetings, advisory boards, speaking engagements, content reviews, and other deliverables
  • Manage timelines and deadlines across concurrent KOL engagements, flagging risks before they become problems
  • Own logistics for KOL-facing events (virtual and in-person): calendar invites, materials distribution, travel coordination, day-of support
Communications
  • Draft and send clear, professional, timely communications to KOLs (invitations, reminders, follow-ups, updates)
  • Coordinate with internal teams (medical, editorial, marketing) to ensure KOLs have what they need, when they need it
  • Troubleshoot scheduling conflicts and competing priorities diplomatically
Requirements:
Required
  • 2+ years in a coordination, program management, client/relationship management, or communications role (life sciences, med comms, or healthcare setting strongly preferred)
  • Exceptional attention to detail — nothing falls through the cracks on your watch
  • Strong written and verbal communication skills; comfortable communicating with physicians, scientists, and senior stakeholders
  • Proven ability to manage multiple concurrent projects/timelines in a fast-paced environment
  • Personable, professional demeanor — you build trust quickly and represent HMP well
  • Proficiency with scheduling tools, CRM/database systems, and standard office software (e.g., Outlook/Google Workspace, Excel/Sheets)
Preferred
  • Base medical/scientific knowledge or prior experience as an editor, medical writer, or in medical affairs/med comms
  • Familiarity with KOL engagement compliance requirements (Sunshine Act, transparency reporting, MLR/legal review processes)
  • Experience with contract lifecycle management or CRM platforms (e.g., Veeva, Salesforce, or similar)
