Medical Affairs Project Manager - KOL & HCP Engagement
We are seeking an experienced Medical Affairs Project Manager to provide direct project management support to senior Medical Affairs leadership, including the CMO. This individual will own the planning, coordination, tracking, and execution of KOL/HCP consulting activities and serve as the central point of contact across internal stakeholders, healthcare professional consultants, contracting teams, and external vendors.
The ideal candidate is a highly organized, proactive project manager who can independently manage multiple consulting engagements, anticipate upcoming needs, maintain executive-level visibility, and ensure activities are executed on time and in accordance with established processes.
Key Responsibilities
- Build and maintain an executive-level dashboard providing visibility into all KOL/HCP consulting meetings, including upcoming engagements, status, timelines, deliverables, and outstanding actions.
- Own project plans, trackers, timelines, and workflows across all consulting activities.
- Partner closely with contracting, legal, and compliance teams to ensure consulting agreements are initiated, completed, and executed in advance of scheduled engagements.
- Manage KOL/HCP outreach, communications, scheduling, and follow-up, serving as the primary operational liaison for healthcare professional consultants.
- Maintain and update annual consulting plans to ensure they accurately reflect planned, scheduled, and completed consulting activities.
- Monitor consultant utilization and contractual commitments, ensuring consultants are appropriately utilized in accordance with their agreements.
- Coordinate with external logistics vendors to manage meeting requirements, including venue, meeting rooms, AV, technology, and other operational needs.
- Proactively manage timelines for the development of consulting materials, discussion questions, agendas, and supporting documentation.
- Ensure materials and questions are finalized and distributed to consultants and internal stakeholders according to established timelines.
- Develop detailed consulting meeting agendas and maintain appropriate documentation and audit trails for compliance and auditing purposes.
- Facilitate project status, monitoring, and integration meetings across Medical Affairs and other congress-related functions.
- Track dependencies, risks, decisions, and action items and proactively escalate potential issues to Medical Affairs leadership.
- Establish scalable and repeatable processes to improve the planning and execution of KOL and consulting activities.
Qualifications
- Demonstrated project or program management experience within Medical Affairs, pharmaceutical, biotechnology, or a related life sciences environment.
- Experience managing KOL/HCP engagements, advisory boards, consulting programs, congress activities, or other external expert engagements strongly preferred.
- Strong experience managing complex projects involving multiple internal and external stakeholders.
- Experience coordinating with contracting, legal, compliance, vendors, and Medical Affairs teams.
- Ability to build and maintain detailed project plans, dashboards, trackers, timelines, and executive-level reporting.
- Strong organizational skills with the ability to manage multiple concurrent engagements and deadlines.
- Excellent written and verbal communication skills with the ability to interact professionally with senior leadership and external healthcare professionals.
- Highly proactive and comfortable independently driving projects from planning through execution and closeout.
Ideal Candidate Profile
This role is best suited for a hands-on project manager who has directly owned the operational lifecycle of KOL/HCP consulting engagements. The successful candidate should understand how to move an engagement from planning and contracting through consultant coordination, logistics, materials development, execution, documentation, and closeout.
This is primarily a project management and consulting-operations role, rather than a traditional scientific content development or Medical Communications position.
