Job summary

NV5, Inc. in California is seeking an accounts payables/billing specialist to manage sub consultant invoices, draft and finalize invoices, and reconcile postings.

You will coordinate with Project Analysts on billing instructions and support labor and sub-consultant transfers. The ideal candidate has an Associate degree in accounting (Bachelor’s preferred), 1–3 years in accounting, and experience with Deltek Vision/Vantagepoint.

Qualifications

• Minimum Associates degree in accounting or similar field.
• Bachelor’s Degree (preferred).
• Deltek Vision/Vantagepoint experience (preferred).
• 1-3 years of experience in an accounting department.

Responsibilities

• Process sub consultant invoices - obtain appropriate approvals, enter into accounting system, update logs.
• Coordinate with Project Analyst regarding billing instructions and invoice approvals.
• Process Labor transfers and sub-consultant transfers.
• Create draft invoices for review, finalize after approvals, copy final invoice for mailing and electronic filing.
• Modify/Void prior period invoices as instructed by Project Analyst, process any necessary changes (reissue, write down, transfer).
• Ensure all invoices are posted and reconciled with invoice register
• Assist Project Analysts with opening of new projects or phases
• Gather reimbursable backup, attach to invoices and answer questions regarding backup if necessary.
• Maintain period job costing records electronically.
