Western States Fire Protection Co. is seeking an Inspections Schedule Coordinator to support technicians and office staff by building and managing the inspections schedule, coordinating dispatch, equipment, and subcontractors, and processing contracts and paperwork.

The Inspections Schedule Coordinator is responsible for providing communication and support services to the applicable technicians and other office staff. He/she will coordinate the scheduling of technicians by receiving and replying to phone calls and emails.

The salary range for this position is $45,000-$65,000 per year depending on experience.

Job Responsibilities

• Assist Inspections Department Manager by building the inspections schedule.
• Coordinate and schedule the dispatch of technicians to appropriate locations according to customer requests and specifications, as well as technician / field inspector certifications.
• Coordinate equipment for inspections when applicable.
• Coordinate subcontractors to perform their portion of inspections when applicable.
• Set up customer contracts in service software as received by sales personnel.
• Request Certificates of Insurance as required in customer contracts when applicable.
• Set up work orders in service software as received from various sources.
• Act as national accounts coordinator for the Inspection department and retrieve work orders from various websites, distribute to the corresponding department contacts, and communicating with national accounts contacts from start to finish.
• Communicate with water districts and fire districts as needed.
• Relay work orders, messages, and information to or from technicians, supervisors, and field inspectors.
• Confer with customers or supervising personnel to address questions, problems, and requests for inspections, service and/or equipment.
• Prepare and maintain accurate records and logs of all telephone calls and other records, files and information systems.
• Enter, update and retrieve information via multiple computer programs.
• Assist in processing inspection reports as needed.
• Assist in billing inspection jobs per office guidelines as needed.
• Assist with other office duties as assigned by the Inspections Department Manager, Office Manager, and/or Area Manager.

Job Qualifications

• Scheduling experience is preferred.
• Two years’ experience in the fire protection industry is a plus.
• Efficient computer skills with working knowledge of Microsoft products such as Outlook, Word, and Excel.
• Possess excellent written and verbal communication skills.
• Good customer service skills and a team attitude are essential.
• Detail oriented, well-organized, proficient in multi-tasking and possesses time management skills.
• Puts forth a courteous, friendly, helpful attitude at all times when answering the phones and dealing with both other associates and customers.
• Willing to pass a post-offer drug screen test and background check.
