  • Knowledge of Firm computer software programs (Word, Outlook, Excel, PowerPoint), including strong Excel skills, with the ability to learn new software and operating systems
  • Operates equipment and performs tasks safely, including safe lifting techniques
  • Demonstrates strong interpersonal and communication skills, both verbally and in writing, with the ability to collaborate effectively with coworkers, communicate professionally with partners and other stakeholders, and work independently as well as part of a team
  • Demonstrates strong organizational, prioritization, and customer service skills

Responsibilities

  • Assist with attorney departure file reviews.
  • Reconcile files of departing paralegals.
  • Coordinate case room work and special records departmental projects.
  • Act as floor representative for the department ensuring file keeping best practices.
  • Communicate department and Firm best practices to partners, attorneys and business services professionals.
  • Assist business services professionals and attorneys in proper use of Firm Records applications.
  • Coordinate removal and retrieval of boxes to and from storage facilities.
  • Coordinate with other offices for file retrieval/archival/destruction as necessary.
  • Assist in implementing and administering retention and quality control programs.
  • Assist management in determining need for change and in developing and implementing the same.
  • Identify and communicate with management the need for training/coaching.
  • Assist in training new employees and providing guidance to users.
  • Demonstrate effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Maintain a complete understanding of the Firm's records management processes, best practices and systems.
  • Manage Firm resources responsibly.
  • Comply with Firm operations, policies and procedures.
  • Regular and reliable physical presence to work on-site.
  • Perform frequent physical exertion including standing, walking, bending, twisting, lifting up to 30 pounds.
  • Perform other related duties as assigned.

The Opportunity

We are seeking an Information Management Coordinator to join our Firm. This position will be based in our New Yorkoffice (onsite, 9.30 - 5.30). The Information Management Coordinator acts as a records and information management resource and liaison for the Firm's attorneys, clients and business services professionals, offering instruction and guidance when necessary and ensuring compliance at all times. This position participates in all aspects of the entire records lifecycle, from label creation to offsite storage for both paper and digital media.
