Job summary

Tek-Matic, an industrial automation and controls distributor within Flow Control Group, seeks a Commercial Operations Coordinator to streamline orders, purchasing, quoting, receiving, invoicing, and general office tasks. You will coordinate between customers, vendors, sales, warehouse, and finance to ensure quotes and orders progress accurately from quote through fulfillment.

Qualifications

• 3-5 years of experience in managing the operations of a small business.
• Bachelor's in finance or business or comparable experience.
• Strong attention to detail and ability to accurately manage quotes, orders, POs, invoices, and records.
• Clear written and verbal communication with a professional, service-oriented approach.
• Ability to manage multiple open items, prioritize effectively, and follow through without constant supervision.
• Comfort working in ERP/accounting systems and common business software.

Responsibilities

• Prepare and coordinate industrial customer quotes, including routine pricing and follow-up.
• Serve as a primary contact for industrial customer service requests and day-to-day order questions.
• Enter customer orders accurately and support backlog management and order status updates.
• Coordinate customer onboarding and maintain required customer account information and setup.
• Process and coordinate RMAs, returns, and related follow-up with customers/vendors.
• Support pricing and terms administration in coordination with the broader team.
• Manage routine industrial purchasing activity and issue vendor purchase orders.
• Coordinate vendor onboarding and maintain vendor setup information and documentation.
• Support receiving and invoicing workflows, including matching activity to orders and escalating discrepancies.
• Provide warehouse support to resolve order/fulfillment issues.
• Coordinate office supply purchasing and routine operational purchases.
• Support shared purchasing for lab automation activity when required.
• Own recurring general administrative tasks and keep the office moving.
• Manage mail flow and route to appropriate teams.
• Maintain routine compliance documentation and records.
• Assist with operational reporting, data entry, and document organization.
• Coordinate across sales, finance, warehouse, and operations to resolve routine issues.
