Job summary

Exotic Automation & Supply Inc. in New Hudson, MI, seeks an organized Service Coordinator to support our Air Systems team. You’ll be the go-to contact for customer quotes and open orders, managing from entry to delivery while coordinating with vendors and the sales team.

Training is provided on products, systems, and processes. You’ll handle order entry, pricing, and EDI, provide status updates, and keep projects on track.

Qualifications

• High school diploma or GED is required.
• Experience in customer service, retail, or operations support is preferred.
• Comfort working on a computer; experience with an ERP or business system is a plus.
• Strong phone and professional writing skills are essential.
• Excellent organization and ability to manage multiple orders and priorities.

Responsibilities

• Serve as the primary contact for customer quotes and open orders by phone and email.
• Provide quote and order status updates to customers and the sales team.
• Learn product lines and the full range of work the Air Systems team handles.
• Track project status and ensure tasks are completed on time.

• Handle sourcing, order follow-up, returns, and nonconforming material processes.
• Expedite materials and follow up with vendors to keep orders on schedule.
• Work with Accounting to resolve invoice rejections, nonpayment issues, and account discrepancies.

Job description

We are looking for an organized, customer-focused Service Coordinator to support our Air Systems team. In this role, you’ll be the go-to contact for customer quotes and open orders. You will manage orders from entry to delivery, follow up with vendors, and keep customers and our sales team informed every step of the way. You do not need to know our products on day one. We will train you on our product lines, business systems, and processes. What You’ll Do

Customer Service & Project Coordination

• Serve as the primary point of contact for customer quotes and open orders by phone and email
• Provide quote and order status updates to customers and the sales team
• Learn our product lines and the full range of work our Air Systems team handles
• Track project status and make sure tasks are completed on time

Order Processing & Systems

• Enter and process orders, including customer information, EDI transactions, and pricing
• Troubleshoot and resolve order issues involving labor, materials, or pricing
• Handle sourcing, order follow‑up, returned goods, and nonconforming material processes

Vendor & Accounting Support

• Expedite materials and follow up with vendors to keep customer orders on schedule
• Work with Accounting to resolve invoice rejections, nonpayment issues, credit card orders, and account discrepancies

What We’re Looking For
