Job summary

Cheney Public Schools is seeking a Secretary III, Student Records & Compliance - SSS in Cheney, Washington to manage IEP and special education documents, maintain inactive and graduate records, and support enrollment and transfer records with accuracy and confidentiality.

The role requires strong typing, MS Office and Google Drive proficiency, and experience with student information systems; it includes clerical duties, reporting, and collaboration across departments.

Qualifications

  • Must have a high school diploma or equivalent
  • Secretarial experience preferred
  • Knowledge of special education compliance preferred
  • Experience working in IEP Online preferred
  • Experience working in Point-of-Sale systems; student information systems experience preferred
  • Inventory control work experience including use of inventory control software preferred
  • Must be able to conduct accurate inventory of products and supplies
  • Type and/or keyboard accurately at 50 adjusted wpm
  • Basic computer knowledge and skills, including email, Google Drive, MS Windows, Excel, Word, and Outlook
  • Ability to use proper grammar and English in both oral and written communication, as well as the usage of correct spelling and basic arithmetic functions

Responsibilities

  • Be thoroughly familiar with the operation of the department
  • Greet visitors, staff, and students both in person and via phone, in a friendly and professional manner
  • Respond to questions and requests from staff, students, parents and supervisors in a positive and professional manner
  • Perform duties related to special education compliance
  • Monitor, track, and provide communication regarding special education compliance
  • Monitor, track, and provide communication regarding homeschool enrollment records
  • Monitor, track, and provide communication regarding inter-and-intra-district choice enrollment records
  • Maintain student records for inactive students and graduates
  • Complete requests for transfer of records for students from other school districts, including special education records
  • Prepare student transcripts as requested
  • Prepare student records for archive storage
  • Prepare and document the destruction of records, as appropriate
  • Assist department with processing of paperwork, including payroll, absence reports, and timesheets
  • Familiar with programs such as Google Drive, Excel, student information systems, and online payment systems
  • Perform all clerical work as assigned by the director(s)
  • Enter, compile and generate data for required reports upon request
  • Establish and maintain electronic and manual filing systems, following state records retention guidelines
  • Arrange for distribution of incoming mail and community publicity items
  • Operate and ensure maintenance of office equipment, including copy machines, computers and printers
  • Update and maintain department website and calendars
  • May provide support for after-hours events as needed
  • Provide a high level of customer service
  • Collaborate effectively within department and with other departments and school buildings
  • Professionally handle confidential information with integrity and discretion
  • Other duties as assigned
