Job summary

VaynerX is seeking a Production Coordinator to support our growing Production team. This role sits at the intersection of in-house agency operations and traditional live-action production, ideal for someone who thrives in logistics and building process.

The Production Coordinator will work across multiple brands and projects, supporting several Producers simultaneously and ensuring budgets, documentation, and vendor relations stay on track.

Qualifications

• 1–3+ years of experience in live-action and/or post production coordinating.
• Proficient with Google Suite and Microsoft Suite administrative tools.
• Familiarity with production paperwork and crew/vendor processes.
• Exceptional organization, attention to detail, and follow-through.

Responsibilities

• Support multiple Producers across a variety of brands, timelines, and deliverables with ad hoc tasks.
• Coordinate in-person logistics for Production, such as stage holds and lunch orders.
• Assist with onboarding of freelancers and vendors and ensure required paperwork.
• Guide freelance crews and vendors through internal processes and documentation.
• Maintain an active pulse on each job to anticipate needs and provide proactive support.
• Assist with financial support: tracking costs, processing POs/invoices, updating actuals.
• Assist with wrap submissions for productions and file documentation in the right place.
• Maintain organized file structures, documentation, and archival systems for production materials.
• Liaise between Prod Ops, Pods, and finance to ensure budgets and contracts are sorted.
