Job summary

VaynerX Production Services is seeking a detail‑driven Production Coordinator to support multiple Producers across brands, managing in‑person logistics, onboarding freelancers, and guiding crews through internal processes. This role operates in a hybrid environment, balancing on‑set coordination with administrative duties and vendor relations.

• 1–3+ years in live-action and/or post production coordinating.
• Proficient with Google Suite and Microsoft Office.
• Familiarity with production paperwork and crew/vendor processes.
• Exceptional organization, attention to detail, and follow-through.
• Ability to thrive in a fast-paced, evolving environment.
• Willingness to respond outside standard working hours.

Responsibilities

• Support multiple Producers across brands, timelines and deliverables.
• Coordinate in person logistics for Production, such as stage holds and lunch orders.
• Assist with onboarding of freelancers and vendors, ensuring required paperwork.
• Guide freelance crews and vendors through internal processes and documentation.
• Maintain an active pulse on each job to anticipate needs and provide proactive support.
• Assist with tracking costs, processing POs/invoices, updating actuals.
• Assist with wrap submissions and ensure documentation is filed properly.
• Maintain organized file structures and archival systems for production materials.
• Liaise between Prod Ops, Pods and finance to sort budgets and contracts.
• Contribute to building a positive, collaborative production culture.
