Job summary

Retail Region 2 Administration in Wakefield, MA is seeking an HR Operations Coordinator to support high-volume employee lifecycle transactions and frontline HR services. The role focuses on preboarding, onboarding, offboarding, records management, and coordinating employee services and discount programs.

Hybrid role: 2-3 days in the Wakefield office with potential travel to Brockton, MA a few days per month.

Qualifications

• 3-5 years of progressive administrative experience, preferably in HR operations or HR shared services.
• Experience working in an HR Shared Services environment highly preferred.
• Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint) and Oracle HR systems or similar HRIS platforms.
• Ability to develop strong working relationships and maintain confidentiality with sensitive employee information.

Responsibilities

• Coordinate onboarding activities to ensure a seamless transition for new employees.
• Communicate with new hires and their managers regarding critical Day One information.
• Order badges and technology.
• Ensure I-9 and E-Verify requirements are completed accurately and timely.
• Manage the logistics of New Colleague Orientation, including attendee communications, room setup, catering, materials, and orientation gifts.
• Coordinate offboarding activities and communicate with employees separating from the Bank and their managers.
• Coordinate equipment returns with Technology and respond to unemployment claims.
• Manage employee discount programs and serve as the primary contact for external vendors.
• Send employee announcements.
• Coordinate floral and gift arrangements for employees and their families following births and deaths.
• Maintain employee records in compliance with retention policies and respond to requests.
• Process invoices and manage office supplies; front desk coverage; backup for HR Operations Specialist.
