Job summary

The Douglaston Companies in New York seeks an Accounts Payable Specialist to join our team. You will work with Project Managers and construction staff to code invoices, POs, and subcontractor expenses, ensuring accurate accounting and timely processing.

You will handle weekly payment runs, reconcile vendor statements, maintain W-9s and lien waivers, and support budgets with precise detail and strong communication. This role blends accounting precision with collaborative project support.

Qualifications

• 2+ years of accounting experience, preferably in accounts payable in the construction industry.
• Bachelor’s degree in accounting or finance preferred.
• Strong attention to detail and ability to manage multiple priorities in a deadline-driven environment.
• Experience with Sage 300, Avid Pay, Titanium, and Microsoft Excel.

Responsibilities

• Work closely with Project Managers and construction staff to ensure accurate job cost coding of invoices, purchase orders, and subcontractor expenses.
• Process a high volume of vendor invoices accurately and efficiently.
• Route invoices for approval and follow up on outstanding approvals.
• Prepare and process weekly payment runs, including ACH, check, and wire transfers.
• Reconcile vendor statements and resolve discrepancies promptly.
• Maintain up-to-date vendor records, W-9s, lien waivers, and other required documentation.
• Monitor project budgets and accounts payable aging, communicating discrepancies as needed.
• Assist with other accounting and administrative tasks as directed.
