Job summary

Pleasant Valley Corporation, a family-owned Commercial Real Estate firm headquartered in Medina, Ohio, is seeking an HVAC Coordinator. The role coordinates HVAC service requests from initial contact through completion by scheduling technicians, reviewing quotes, and maintaining clear communication with customers and vendors.

Based in Medina onsite, the position reports to a Senior Project Manager within Facilities Management.

Qualifications

• High school diploma or GED required.
• 1–3 years of experience in HVAC, facilities management, property management, dispatch, or fast-paced customer service.
• Experience coordinating HVAC service calls, technicians, or subcontractors is preferred.
• Experience reviewing service quotes, proposals, or invoices is a plus.
• Experience using work-order management, CRM, scheduling, or dispatch software is preferred.

Responsibilities

• Coordinate HVAC services by scheduling technicians, subcontractors, or vendors and communicating scope of work.
• Obtain and review quotes for HVAC repairs, maintenance, and replacement work and secure customer approvals.
• Maintain timely communications with customers and service providers regarding scheduling, status, delays, and completion.
• Track open work orders and address delays or issues to ensure quality and customer satisfaction.
• Maintain accurate work-order notes, quotes, approvals, updates, and completion details in PVC Connect and the Customer Portal.
