The ideal candidate has 3–5 years of relevant HVAC service coordination or dispatching experience, strong organizational and communication skills, and proficiency with Microsoft Office and service-management software.

Qualifications

• 3–5 years of relevant work experience, preferably in HVAC service coordination, dispatching, scheduling, or a related service-industry role.
• Knowledge of HVAC service terminology, equipment, and service processes.
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Comfortable using Microsoft Office, email, and service-management software.
• Professional, dependable, and detail-oriented.
• Strong problem-solving and customer-service skills.

Responsibilities

• Receive and respond to HVAC service requests and customer calls.
• Schedule and dispatch HVAC service technicians based on priority, location, and availability.
• Communicate with customers regarding scheduling, service status, and updates.
• Create and maintain service work orders and related documentation.
• Coordinate with HVAC technicians to ensure they have the necessary job information, parts, and materials.
• Follow up on open service requests and ensure timely completion.
• Maintain accurate customer and service records.
• Assist with preparing estimates, invoices, and other service-related paperwork.
• Handle customer questions and concerns professionally.
• Work closely with management and other departments to support daily service operations.
