Qualifications

• High school diploma or equivalent required; coursework in business administration or related field is a plus.
• At least 2 years of experience in customer service, dispatching, or service coordination (HVAC industry preferred).
• Proficient with scheduling platforms, CRM tools, and Microsoft Office Suite.
• Strong communication and interpersonal skills; you know how to keep things moving and keep people informed.
• Highly organized, detail-oriented, and comfortable juggling multiple tasks at once.
• Familiarity with HVAC systems or building automation is helpful, but not required.
• Ability to remain calm and focused in a high-pressure, team-driven environment.

Responsibilities

• Manage the full-service call process - from intake and scheduling to auditing and invoicing.
• Schedule and dispatch technicians for installations, maintenance, and repairs of HVAC control systems.
• Serve as the main contact for customers, providing timely updates and resolving service-related questions.
• Coordinate closely with the service team to meet project timelines and prioritize urgent calls.
• Maintain accurate records of all service requests, calls, and customer communications in the company database.
• Collaborate with technicians and leadership to optimize workflow and resource allocation.
• Support compliance with company policies, safety procedures, and industry standards.
• Provide administrative support including reporting and tracking key service metrics.
