Job summary

Mesa Energy Systems is seeking a Project Coordinator to support retrofit and automation projects. You will work closely with the Project Manager and Superintendent, providing updates and attending scheduling meetings to keep projects on track.

Responsibilities include setting up retrofit jobs, maintaining project folders, coordinating purchases, and ensuring safety programs are followed. Strong communication and organizational skills are essential.

Qualifications

• Bachelor's degree in business administration or equivalent work experience.
• A minimum of three (3) years’ experience in back-office support in the Construction field.
• Strong background with Construction forms and permits necessary.
• Strong administrative skills.
• Computer literate in Microsoft Products.
• Excellent verbal and written communication skills.
• Ability to coordinate and work well with others.
• Ability to work independently or as member of a team.
• Ability to adapt to ever changing pri orities.

Responsibilities

• Set up all retrofit and automation jobs.
• Scheduling with Project Manager and Superintendent to keep shifts updated.
• Develop and maintain all project folders in SharePoint.
• Attend job, project review and manpower scheduling meetings; document tasks.
• Coordinate purchase of supplies, equipment and services.
• Maintain and follow a strong safety program.
• Process and enter all POs and subcontracts for retrofit projects.
• Liaise with A/P regarding invoices, vendor holds, PO costs and subcontracts.
• Review and approve vendor/subcontractor invoices monthly.
• Enter retrofit weekly timecards and resolve payroll issues with payroll.
• Liaise with payroll for certified payroll issues.
• Process permits and pull as needed.
• Prepare and submit certificates of insurance.
• Prepare Submittal Manuals as required.
• Handle Payment & Performance Bonds if required by customer.
• Prepare close out documents and O&M manuals if required.
• Initiate Warranty Letters as needed.
• Assist PM with billings and Pay Applications.
• Assist PM with WIP Reports for month-end review.
• Support all PMs with daily requirements.
