Job summary

Mesa Energy Systems is seeking a Project Coordinator in Las Vegas to support retrofit and automation projects. You will work closely with the Project Manager and Superintendent, update schedules, and manage documentation in SharePoint.

Responsibilities include coordinating supplies, maintaining safety programs, processing invoices, and assisting with billings and WIP reports to keep projects on track.

Qualifications

• Bachelor's degree or equivalent experience in business administration.
• Minimum three years in back-office support in construction.
• Strong administrative skills and familiarity with construction forms.
• Excellent verbal and written communication skills.
• Ability to coordinate with others and work independently.
• Adapt to changing priorities in a fast-paced environment.

Responsibilities

• Set up retrofit and automation jobs and document tasks.
• Schedule shifts with Project Manager and Superintendent.
• Maintain all project folders in SharePoint.
• Attend meetings and record minutes; assign tasks in Planner.
• Coordinate procurement of supplies, equipment, and services.
• Maintain a strong safety program across projects.
• Enter POs and subcontracts for retrofit projects.
• Liaise with A/P on invoices, vendor holds, costs.
• Review and approve vendor/subcontractor invoices monthly.
• Enter weekly timecards; address payroll issues with payroll.
• Coordinate permits, certificates of insurance, and submittals.
• Support PM with billings, WIP reports, and close-out documents.
• Assist with warranty letters and project closeout tasks.
