You will support project setup, scheduling, procurement, financial administration, documentation, and compliance, acting as the central hub among project managers, field teams, subcontractors, vendors, customers, and internal departments. Your responsibilities include coordinating permits, approvals, progress meetings, billing activities, and closeout documentation, while ensuring

Qualifications

• Bachelor’s degree required; 3+ years of related work experience in Mechanical, Electrical, Plumbing service field or similar.
• Ability to take initiative and solve complex problems; strong organizational and communication skills.
• Proficiency in MS Office Suite (Outlook, PowerPoint, Excel).

Responsibilities

• Create and establish new project records.
• Coordinate communication between Project Managers, customers, subcontractors, vendors, service teams, and internal departments.
• Schedule progress meetings, inspections and project milestones; attend and document weekly progress meetings.
• Coordinate procurement of HVAC equipment and project materials; track delivery status.
• Process invoices and maintain project cost records; manage change orders and billing documentation.
• Maintain complete project records and ensure compliance with company policies and contract obligations.
