OpActive in Farmers Branch, TX is seeking an Office Manager to lead front office operations and coordinate the office team including CSR staff, dispatcher, and client interactions. The role is the first point of contact for customers and requires strong organizational and communication skills.

The position offers a 40-hour workweek (Mon-Fri, 8:00am–5:00pm) with occasional overtime, salary range $64,000–$74,000 plus bonuses, and benefits including medical, dental, vision, 401(k), holidays,

Formación

• 3–5 years of office management experience in service industries
• HVAC industry knowledge is recommended but not required
• QuickBooks experience
• Experience supervising, training, and motivating colleagues
• Advanced computer skills: Word & Excel
• Service Titan software experience is a plus
• Billing experience and Accounts Receivable
• Strong data entry skills
• Excellent verbal and written communication skills
• Strong interpersonal skills
• Dispatching experience desired

Responsabilidades

• Manage the CSRs and Service Dispatcher
• Ensure high level of internal customer service
• Coordinate with warehouse to stock materials
• Meet booking and service contract sales goals
• Prepare weekly KPI reports and maintain accurate data
• Maintain and update customer records
• Create monthly newsletter
• Update social media and lead generation sites (Angie’s List, HomeAdvisor)
• Assist owner with business planning, social media and marketing initiatives
• Answer incoming calls
• Resolve customer complaints and billing issues
• Billing: verify prior days jobs for pricing and batch
• Accounts Receivable: weekly collections management
• Maintain office supplies inventory
• Other duties as assigned
