Qualifications

• Minimum of 2 years of customer service, office administration, or dispatching experience (dispatch experience preferred).
• Professional demeanor and strong communication skills.
• Exceptional customer service mindset with a genuine desire to help others.
• Ability to prioritize, plan, and proactively manage schedules in a fast-paced environment.
• Strong problem-solving skills and the ability to think quickly under pressure.
• Excellent interpersonal skills and the ability to build positive relationships with customers and coworkers.

• Ability to work effectively both independently and as part of a team.
• Proficiency with Microsoft Office and the ability to quickly learn dispatching, scheduling, and customer management software.

Responsibilities

• Schedule and dispatch HVAC Service and Plumbing Technicians to maximize efficiency and customer satisfaction.
• Review and optimize technician routes to improve productivity and response times.
• Answer incoming calls from existing customers and provide exceptional customer service.
• Accurately enter and maintain work order and customer information within company systems.
• Create and manage dispatch numbers for ordered parts.
• Monitor and follow up on part orders to ensure timely completion.
• Schedule installation appointments when parts become available.
• Communicate effectively with technicians, customers, vendors, and internal team members.
• Resolve scheduling issues and make real-time adjustments as priorities change.
• Support daily operations by ensuring accurate documentation and timely communication.
