Job description

Our HVAC Dispatcher is a key member of our team by ensuring 100% client satisfaction. The HVAC Dispatcher ensures our service board is full by taking incoming client calls and for service scheduling. This role is responsible for accurate scheduling and dispatching for technicians in our Winchester, VA, and Morgantown, WV Branch locations.

Essential Job Functions:

  1. Receive incoming service and maintenance client calls from the Southern Air call center.
  2. Make outbound calls to clients as necessary to schedule service calls, or offer tune-ups or preventative maintenance calls.
  3. Demonstrate accuracy and thoroughness in all aspects of the position.
  4. Show the ability to make timely decisions in the best interest of the customer and company.
  5. Schedule return trips with customers when parts are in.
  6. Assist in maintaining the on-call schedule for service technicians.
  7. Maintain customer database with current information.
  8. Clear and concise communications with department managers, employees, and company customers, including keeping customers appraised as to company schedule and requested lead times.
  9. Prepare timecards for payroll weekly.
  10. Other projects as directed by the Branch Manager or Project Manager.

Required Qualifications:

  1. High School diploma or equivalent.
  2. 2 years of customer service experience.
  3. 1 year of call center experience or similar.

Preferred Qualifications:

  1. Previous experience in HVAC or similar trade preferred.
  2. Must have excellent phone etiquette and have the ability to manage multiple telephone lines professionally and positively.
  3. Must be able to effectively prioritize and organize daily job duties.
  4. Must be able to accurately enter order information, including updating customer accounts, telephone, and contact numbers.
  5. Extremely high attention to detail is required.

Mathematical Skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; Ability to deal with problems involving several concrete variables in standardized situations.
