Qualifications

  • Proficiency with Microsoft Excel and working knowledge of Word and general computer systems.
  • Exceptional communication skills and a positive attitude to motivate and train employees.

Responsibilities

  • Execute the orientation and onboarding experience for new hires across the organization.
  • Educate new employees on policies, procedures, and expectations; answer questions.
  • Process new hire documentation including tax forms and I-9s; ensure training completion.
  • Enter and maintain onboarding data in UKG for timekeeping, personnel, and payroll.
  • Answer HR main phone line; respond to employee questions via the HR ticket system.
  • Complete onboarding documentation workflows and distribute materials.
  • Maintain HR records and assist with student new hire processing.

Job description

The Human Resource Onboarding Specialist is a fully onsite role in Buffalo, NY, responsible for delivering new-hire orientations and onboarding support. This position educates employees on policies and procedures, processes onboarding paperwork, coordinates required training completion, and supports HR inquiries through onsite and HR administrative channels.

Key Responsibilities
  • Execute the orientation and onboarding experience for new hires across the organization.
  • Educate new employees on organizational policies and procedures, skills and performance expectations, and introduce them to the work environment and culture while addressing questions.
  • Perform tours and introduce new team members to their work units.
  • Process new hire documentation, including tax forms and I-9s, perform or ensure required training is completed, and address employee questions related to policies, procedures, position requirements, or payroll.
  • Conduct orientations for new hires along with training, tours, and site visits to various units.
  • Complete onboarding documentation workflows, including policy and procedure sign-offs, training documentation, and other required files.
  • Enter and maintain onboarding and HR-related information in UKG for timekeeping, personnel, and payroll.
  • Answer the Human Resource main phone line and respond to employee questions.
  • Use the HR ticket system to respond to frequently asked questions from employees and management, including password reset requests for access to UKG.
  • Complete employment verifications.
  • Track hours for probationary and temporary employees and help transition employees to a different employment status when hours and probationary requirements are met.
  • Administer and distribute new hire materials, training materials, uniforms, welcome packages, and related onboarding items.
  • Assist with hiring and processing of student new hires.
  • File and organize HR-related records and paperwork.
  • Work with student employees to support HR-related projects, ensure process execution, and provide coaching as needed.
  • Collaborate with the HR team on departmental projects and assist other HR office members as required.
  • Perform additional administrative duties as assigned.
Required Skills and Qualifications
  • Preferred Bachelor’s degree (four-year college or technical school) or equivalent experience required.
  • Minimum 2 years of professional clerical experience, with HR office experience preferred.
  • Proficiency with Microsoft Excel (spreadsheets) and working knowledge of Word and general computer systems.
  • Exceptional communication skills.
  • Positive attitude with the ability to motivate and train employees effectively.
  • Strong time management and advanced planning to meet deadlines.
  • Strong computer skills including spreadsheets, word processing, desktop publishing, email, internet research, PowerPoint, spreadsheet preparation and tracking, calendaring, and administrative writing and reporting.
  • Ability to adapt to a changing employment environment with flexibility.
  • Preferred experience with an HRIS (Human Resource Information System).
  • Good visual acuity for reading reports and performing computer-based work.
  • Ability to lift, bend, reach, and meet other physical demands of the position.
  • Ability to walk and stand up to 4 hours per day.
  • Self-starter with strong attention to detail, able to manage multiple tasks, prioritize work, and work effectively with others.
Labor Law Knowledge

Basic knowledge of labor laws is required to assist with employee questions, along with staying current on legal changes and internal policies and procedures.

Work Schedule and Location
  • Location: Buffalo, NY (onsite), with no remote capabilities.
  • Employment type: Full time, non-exempt hourly position with a minimum of 40 hours per week.
  • Standard schedule: Monday through Friday, 8:00am to 4:30pm.
  • Occasional evening and weekend work may be required during peak periods and as job duties require.
  • Additional hours are required at the start of school in August and January, along with hours needed for special events throughout the year.
  • Weekends and evenings may be required during peak periods or to support recruitment efforts.
FLSA Status

Full-Time, Non-Exempt Hourly.

Compensation
  • Hourly non-exempt role with an anticipated range of $26 to $30 per hour.
  • Yearly performance-based increases may be available; changes or discontinuation are possible at any time.
  • The advertised pay range reflects what the organization believes at the time of posting.
