Responsibilities

  • Maintains and updates HR Programs Section job aids, presentations, and materials on a quarterly basis.
  • Coordinates records retention activities in compliance with Texas laws and Department policies.
  • Manages division assets, including surplus property disposition, asset transfers, and annual inventory reviews.
  • Coordinates the division's purchase process with vendors and Procurement Division to ensure invoicing and PO requirements.
  • Publishes and maintains the division's Intranet main page and subsites content, including accessibility requirements.
  • Performs office support and IT-related tasks, including ticket submission for malfunctioning hardware and communication tools.
  • Attends mandatory meetings and completes training within established timeframes.
  • Coordinates travel services in accordance with state laws and Department rules and assists with expense reports.

Provides technical and business services support for the Human Resources Division to include informational and operational services. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Maintains and updates HR programs Section job aids, presentations, and other educational and informational materials on a quarterly basis or in coordination with policy, procedure, or system changes; monitors Internet/intranet content to include hyperlink testing and coordinates with publication of updates as required.

Coordinates records retention activities such as identifying records retention requirements and the appropriate disposition and handling records in accordance with state of Texas laws and rules, submitting the division's annual file plans in compliance with Department practices and policies, and responding to records retention-related questions.

Manages the division's assets to include coordinating the disposition of surplus property, facilitating asset transfers and returns, conducting annual inventory reviews, and updating and maintaining the system with the asset's status.

Coordinates the division's purchase process to include initiating, monitoring, and confirming the commodity/service status, to include validating the purchase has been received and meets standards; working with vendors and the Procurement Division as needed to ensure invoicing requirements are met; assisting recipients if the service or commodity does not meet the PO requirements, and updating the system to ensure prompt processing and payment.

Leads Stretch and Flex exercises and takes and distributes notes for HRD-All meetings.

Attends work in accordance with established schedule and communicates with immediate supervisor on deviations in a timely manner.

Attends regular team meetings, to include attendance and active participation in mandatory section meetings.

Attends miscellaneous meetings, to include meetings with customers, upon request.

Completes mandatory training with established timeframe.

meets project and response deadlines.

Coordinates travel services in accordance with the state of Texas and Department laws and rules, to include making travel arrangements, securing transportation and lodging services, assisting employees in submitting expense reports for travel reimbursement; and responding to travel-related policy and procedure questions.

Publishes, maintains and coordinates the division's Intranet main page and subsites content, to include but not limited to procedures, announcements, and electronic forms; coordinates changes to the division's content on the Department's public-facing Internet site; and serving as a subject matter expert on accessibility requirements.

Performs business operations services such as business continuity practices and issuing Veoci notifications.

Performs office support services such as mail handling to include collecting, opening, sorting, and distributing incoming mail and processing outgoing mail; mainating general office areas with office supplies, submitting facility maintenance/repair tickets, and coordinating confidential bin replacements.

Performs other duties as assigned, to include but not limited to, serving as first-level technical support responsible for submitting and tracking tickets for malfunctioning hardware, and communication tools used by the division.

Experience

1 year business operations, communications, informational, or related experience. (Experience can be satisfied by full time or prorated part time equivalent).

Related graduate level education may be substituted for experience on a year per year basis.

Licenses and Certifications

Valid driver’s license. This position requires driving a state vehicle.
