Job summary

The Ponte Vedra Inn & Club is seeking an organized, welcoming, and detail-oriented Human Resources Onboarding Specialist to help new colleagues begin their careers with confidence.

This role coordinates pre-employment requirements, new hire paperwork, and orientation while providing administrative support to the Human Resources Department. You will be the initial point of contact for applicants and colleagues, representing the team with warmth, professionalism, and efficiency.

Qualifications

• High school diploma or equivalent required; college coursework in HR/Business Administration, Hospitality or related field preferred.
• Minimum of one year administrative or office support experience, ideally in HR, hospitality, or customer service.
• Proficiency with Word, Excel, Outlook; ability to learn HR systems; Dayforce experience preferred.

Responsibilities

• Guide new hires through onboarding, ensuring paperwork and pre-employment steps are completed on time.
• Coordinate background checks, motor vehicle records, and drug screenings; share clearance status with leaders.
• Prepare new hire packets and maintain confidential personnel records.
• Coordinate orientation schedules and issue nametags and timecards as needed.
• Maintain applicant and new hire information in Dayforce.
• Support requisitions and job postings with HR team approvals.
• Greet applicants, colleagues, and visitors in a friendly, professional manner.
• Answer calls, monitor HR inbox, and manage department correspondence and mail.
• Assist applicants with applications and questions about the hiring process.
• Maintain job descriptions, department forms, and office supplies; update directory.
• Coordinate colleague attraction passes and assist with employment verification requests.
• Support workers’ compensation documentation and other HR administrative tasks.
• Attend required training and meetings; follow company safety procedures.
