Homecare Scheduler
Schedule: Monday – Friday | 8 AM to 5 PM (In-Office Required)
One Weekend per Month Required

We are currently seeking an experienced Home Care Scheduler to join our team. This is a fast-paced, hands-on role that requires both professional caregiving experience and previous scheduling experience.

Position Overview

The Home Care Scheduler is responsible for coordinating caregiver schedules and ensuring all client shifts remain appropriately staffed. This position requires someone who understands caregiving firsthand and has experience managing schedules in a fast-paced environment.

Because maintaining client coverage is an essential function of this position, the Scheduler must also be willing and able to personally provide caregiver coverage when a last-minute open shift cannot be restaffed after reasonable scheduling efforts have been exhausted.

Required Experience

Applicants must meet BOTH of the following requirements to be considered:

• Professional caregiving experience is REQUIRED.
• Previous scheduling experience is REQUIRED. Home care, healthcare, or other high-volume employee scheduling experience is strongly preferred.

This is not an entry-level scheduling position. Candidates should be comfortable managing frequent schedule changes, call-offs, caregiver availability, and urgent staffing needs.

Key Responsibilities

• Create and maintain caregiver schedules based on client needs, caregiver availability, skills, and location
• Respond quickly to caregiver call-offs, scheduling conflicts, and last-minute staffing changes
• Proactively contact available caregivers to restaff open shifts and prevent gaps in client care
• Provide direct caregiver coverage when a last-minute shift cannot be successfully restaffed
• Monitor caregiver hours and overtime when making scheduling decisions
• Coordinate and document caregiver time-off requests and availability changes
• Communicate professionally with caregivers, clients, families, and administrative staff
• Answer incoming calls and respond promptly to scheduling-related concerns
• Maintain accurate caregiver availability and scheduling information within the scheduling system
• Document schedule changes, call-offs, coverage efforts, and related communications
• Assist with onboarding and administrative data entry as needed
• Work collaboratively with the scheduling and administrative team to maintain reliable client coverage

Qualifications

• Professional caregiving experience — REQUIRED
• Previous employee scheduling experience — REQUIRED
• Previous scheduling experience within a private-pay home care agency strongly preferred
• Must be willing and able to work a caregiver shift when necessary to maintain client coverage
• Strong problem-solving and decision-making skills
• Excellent attention to detail and organizational skills
• Ability to remain calm and prioritize effectively when multiple scheduling issues occur simultaneously
• Strong written and verbal communication skills
• Professional and confident phone presence
• Comfortable working with computers, scheduling systems, and multiple communication platforms
• Experience with ClearCare/WellSky or similar home care scheduling software is a plus
• Must be authorized to work in the United States
