We are looking for a Caregiver Supervisor & Scheduler to join our team. This position plays a vital role in ensuring the efficient and timely delivery of in-home care services to our clients. They will work closely with caregivers and clients to create and maintain effective care schedules, ensuring that the specific needs and preferences of our clients are met, and help cover any emergency shifts or client needs that might arise. This position requires excellent organizational and communication skills.
Schedule Coordination:
Create and maintain daily and weekly schedules for clients and caregivers.
Match caregivers to clients based on skill sets, availability, and client preferences.
Ensure that schedules are efficient, taking into consideration travel time and client locations.
Client-Caregiver Communication
Serve as the main point of contact for caregivers and clients regarding scheduling matters.
Handle schedule changes, client requests, and caregiver availability adjustments promptly and effectively.
Confirm caregiver shifts and provide clear instructions for each assignment.
Address scheduling conflicts, call-offs, and emergencies promptly, finding suitable replacements when necessary.
Maintain a list of on-call caregivers to cover unexpected staffing needs.
Documentation and Record Keeping:
Maintain accurate and up-to-date records of client schedules, caregiver availability, and caregiver qualifications.
Assist with the management of client files and ensure that they are complete and compliant with company policies.
In-Home Care:
Assistance finding substitute caregivers for any last minute needs or covering 4-6 hr shifts if required. This need is seldom required, but the Caregiver Supervisor is responsible for helping cover all needed shifts for the team.
Available for “on-call” shift coverage 1 weekend per month
Reporting:
Generate reports on caregiver schedules, client assignments, and any scheduling-related issues.
Provide data and insights to improve scheduling efficiency and client satisfaction.
High school diploma or equivalent (Associate's or Bachelor's degree is a plus).
Previous experience with homecare, home health or hospice care (CNA, HHA, or similar licenses are not required, but strongly recommended).
Previous experience in scheduling, customer service, or healthcare coordination is desirable.
Strong organizational skills and attention to detail.
Excellent communication and problem-solving abilities.
Proficiency in using scheduling software and Microsoft Office applications.
Empathetic and compassionate approach when dealing with clients and caregivers.
Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
