Job summary

CarMax Milwaukie is seeking a Management Assistant to support store operations, assisting managers with hiring, onboarding, and orientation, and handling administrative tasks across the business. The role focuses on delivering a best-in-class associate and customer experience in a fast-paced setting.

You will join the Business Operations team, coordinating interviews, processing paperwork, handling cash tasks, and providing exceptional service while also supporting system updates and daily

Qualifications

• Ability to read, interpret, and transcribe data for record-keeping.
• Strong organizational skills and attention to detail in a deadline-driven environment.
• Proficiency in word processing, spreadsheets, and intermediate PC skills.
• Effective communication with customers and associates in person, by phone, and in writing.
• Ability to multi-task and prioritize in a fast-paced setting.
• Maintain confidentiality of records and reports within scope of position.
• Flexibility to work varied schedules, including nights, weekends, and holidays.

Responsibilities

• Coordinate hiring and onboarding, schedule interviews, and manage applicant records in Workday.
• Facilitate new associate orientation and maintain accurate personnel files.
• Provide customer service by greeting customers and assisting with paperwork.
• Process sales and auction paperwork, including DMV documents and dealer registration.
• Handle cash management tasks, deposits, safe handling, and multiple payment types.
• Support Business Office operations and mentor new associates.
• Follow EH&S requirements and maintain a clean work area.
