Job summary

CarMax in Urbandale, IA, is seeking a Management Assistant to support store operations, hiring, onboarding, and orientation processes. You will join the Business Operations team, handling applicant records, orientation, and customer service across sales, auction, and appraisal functions.

You will manage administrative tasks, including cash handling and paperwork, while ensuring smooth operations in a fast‑paced, team‑oriented environment with EH&S compliance.

Qualifications

• Ability to read and accurately transcribe data for records.
• Strong organizational skills and attention to detail in a deadline‑driven environment.
• Proficiency with word processing, spreadsheets, and intermediate PC skills.
• Effective communication with customers and associates in person, by phone, and in writing.
• Ability to multi‑task and prioritize in a fast‑paced setting.
• Maintain confidentiality of records and reports within scope of position.
• Flexibility to work varied schedules, including nights, weekends, and holidays.

Responsibilities

• Coordinate hiring and onboarding processes, including scheduling interviews, preparing documentation, and managing applicant records in Workday.
• Facilitate new associate orientation, ensuring timely completion of required documentation and training, and maintaining accurate personnel files.
• Provide customer service support by greeting customers, answering questions, and assisting with paperwork.
• Process sales and auction paperwork, including DMV documentation and dealer registration.
• Handle cash management tasks, including deposits, safe handling, and multiple payment types.
• Support Business Office operations and mentor new associates as needed.
• Follow CarMax EH&S requirements and maintain a clean and orderly work area.
