Job summary

Aston Carter is seeking an Accounts Payable Specialist for a contract-to-hire role in Bethesda, MD. The successful candidate will manage full-cycle AP, process invoices, and ensure timely payments while maintaining vendor relationships.

You will handle high volumes (200+ invoices weekly), perform reconciliations, support month-end close, and contribute to process improvements. Requires attention to detail, Excel proficiency, and AP workflows.

Qualifications

• 1+ year of Accounts Payable experience preferred; new grads with a related Bachelor's degree are encouraged to apply.
• Basic proficiency in Microsoft Excel, including sorting, filtering, and simple formulas.
• Experience processing a high volume of invoices (200+ per week preferred).
• Comfortable with manual processes and detailed administrative tasks.
• Strong attention to detail, organizational skills, and ability to meet deadlines.
• Excellent verbal and written communication skills.

Responsibilities

• Manage and monitor the Accounts Payable inbox and distribute invoices for review.
• Route invoices for approval and follow up on outstanding approvals.
• Prepare approved invoices for payment and create payment batches.
• Execute weekly check runs and assist with payment processing.
• Generate check run reports, payment summaries and AP analytics.
• Reconcile vendor statements to ensure accurate invoicing and payments.
• Communicate with vendors for missing invoices, COIs, and W-9 forms.
• Download and organize invoices from vendor portals and websites.
• Track recurring expenses and ensure timely processing of periodic invoices.
• Maintain accurate vendor records and support AP process improvements.
• Assist with month-end close and audit requests as needed.
