Job summary

Serendipity Labs is seeking an Operations Coordinator to drive member experience, events, and lab operations in a dynamic coworking environment in Madison. You will coordinate partnerships, manage reception duties, and help oversee daily workflow using established processes.

You will lead lab events, support IT-related issues and member services, and assist with invoicing, onboarding, and ongoing improvements to deliver upscale experiences for members and guests.

Qualifications

• Minimum 1-2 years of experience as a Team Leader in a hospitality driven environment (hotels, retail).
• Ability to consistently deliver a high level of customer service.
• A keen attention to detail and ability to be proactive in support of Team, Members, and Guests.
• The ability to lead and delegate while holding Team Members accountable.
• Excellent organizational skills including the ability to prioritize and multitask.
• Ability to work with grace under pressure and demonstrate flexibility.
• Good basic IT knowledge and the ability to learn, use, and troubleshoot systems

Responsibilities

• Lead artist partnerships including: reaching out/vetting potential artists, generating any social media marketing for artist reception, overseeing install/deinstall, organizing and executing artist reception. Plan two Lab Member events each month to foster community within the Lab.
• Partner with outside organizations to host monthly events (2-6 partnered events each month) to engage the community and promote brand awareness.
• Contribute lab social media content to central marketing and producing content for member newsletters.
• Provide lab tours when GM is not available.
• Assist with the staffing of reception during lab business hours as needed and ensure a positive member experience.
• Resolve member issues and escalate them when needed.
• Oversee invoicing/billing accuracy and assist with follow-up on delinquent accounts.
• Manage stock levels and ordering of consumables within budget targets.
• Create/maintain complete Member profiles in the management system and facilitate onboarding.
• Oversee and ensure all lab areas are well-presented and operationally sound.
• Own service delivery for meeting and event bookings and ensure accurate billing.
• Coordinate catering for meetings and events with EC/GM.
• Support ECs with setup and ongoing professional development.
