Job summary

The HEICO Companies, LLC is seeking a Shipping Documentation Specialist in Ohio to ensure accurate preparation, printing, and filing of outbound shipment papers. You will coordinate with internal teams and external partners to support on-time order fulfillment while maintaining compliance and traceability.

Key tasks include handling shipping labels, updating orders, and facilitating transfers between warehouses.

Qualifications

• Functional literacy in English (reading, writing, speaking).
• Basic math proficiency including counting, addition and subtraction.
• Strong organizational skills and attention to detail.
• Proficiency in Microsoft Office Suite (Excel/Word).
• Intermediate data entry and ERP-doc processing in D365 or similar.
• Ability to work independently and in a team, with multitasking ability.
• Minimum of 1 year shipping/logistics experience in warehouse/distribution.

Responsibilities

• Prepare, verify, and organize shipping documents to support order fulfillment.
• Print and apply labels for standard and special orders per requirements.
• Monitor open work orders, identify part shortages, request transfers.
• Communicate shipping terms (FOB/MOD) and resolve discrepancies with CS & Billing.
• Coordinate with Export Documentation Provider for international shipments.
• Maintain records of outbound shipments for audits and traceability.
• Crosstrain and assist in picking, packing, and preparing materials.
• Support continuous improvement by identifying inefficiencies or issues.
• Process completed work through the billing process.
• Route product for pickup using TMS systems.
• Coordinate with CS on export orders for correct documentation.
• Identify and request part transfers between warehouses.
• Print labels per customer requirements.
• Maintain status of open work; provide EOS report of upcoming work.
• Perform duties as defined by Warehouse Supervisor.
• Comply with safety, environmental, and quality procedures.
• Coordinate with cross-functional teams (CS, Billing, Inventory).
• Escalate discrepancies, shortages, or documentation issues to management.
• Authority to generate/validate internal shipping docs and transfers.
• Authority to release documentation for shipment after review.
