Job summary

Odyssey, an AI lab pioneering world models, seeks a detail-oriented People Operations Coordinator to support our Palo Alto HQ and international offices in London and Zurich. You will manage immigration cases, onboarding, offboarding, and HRIS maintenance, ensuring smooth day-to-day People operations.

Work with the Talent team on activations, events, and scalable processes, use automation tools to build trackers and playbooks, and collaborate across offices.

Qualifications

• 3+ years in People operations, HR coordination, immigration coordination, or event operations.
• Proven ability to manage many deadlines and moving parts with attention to detail.
• Experience working with HRIS and spreadsheets/trackers.
• Clear, warm written and verbal communication with employees, counsel, and vendors.
• Location: Based in Palo Alto, CA with in-office presence and travel to London/Zurich.

Responsibilities

• Immigration & Visas: Track visa and work authorization across the US, UK, and Switzerland; coordinate documentation and deadlines.
• Employee Support: Act as main contact with external immigration counsel and guide employees through processes.
• Onboarding & Offboarding: Support onboarding/offboarding, paperwork, access requests, and IT logistics.
• People Administration: Maintain employee documents and HRIS data accuracy.
• Project Support: Assist with People initiatives, documentation, and process improvements.
• Company Events: Coordinate conferences, offsites, and engagement activities; manage vendors and budgets.
• Talent Activations: Collaborate with Talent team on recruiting events.
• Automation: Build trackers and playbooks using automation/AI tools.
• Confidentiality: Handle sensitive information with discretion.
