Job summary

The Project Assistant at The University of New England provides essential administrative, fiscal, and communications support for the AgingME GWEP. Reporting to the Program Manager, the role ensures the smooth operational flow of the program by supporting financial functions, administrative coordination, and partner relations across the state.

This is a half-time position (20-25 hours/week, 12 months/year) with the option to move to a hybrid work schedule after an initial familiarization period.

Qualifications

  • Associate’s or Bachelor’s degree and at least one year of administrative office experience.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to learn and use new software systems, databases, platforms, and electronic workflow tools.
  • Experience maintaining databases and reconciling financial information.
  • Strong written and verbal communication with high accuracy in grammar and spelling.
  • Organizational skills with ability to manage priorities, meet deadlines, and maintain attention to detail.
  • Ability to work independently and collaboratively while providing customer service.
  • Commitment to confidentiality and discretion with sensitive program information.
  • Experience with website updates, social media, or digital communications preferred.

Responsibilities

  • Provide administrative support for AgingME GWEP, including coordinating meetings, preparing materials, scheduling travel, and maintaining program records.
  • Support fiscal and operational processes by assisting with partner invoicing, payment tracking, and related administrative workflows.
  • Maintain program supplies, files, databases, and other resources to support daily operations.
  • Serve as a primary contact for routine inquiries from program partners, participants, and stakeholders, ensuring timely communication.
  • Assist with coordination and dissemination of program communications, including website updates and newsletters.
  • Track and monitor assigned projects, activities, and deadlines, providing updates and flagging issues.
  • Provide first-level support for program technology platforms and training resources, directing complex issues to appropriate resources.
  • Collaborate with program staff and external partners to support implementation of grant activities and objectives.
  • Perform other related duties as assigned.
